    As the Senior Administrative Assistant, you will work with moderate supervision in a fast-paced environment, coordinating the administration of projects and day to day administrative activities for designated law department staff (consisting of 4-5 attorneys and paraprofessionals).  You will coordinate timeframes, production and timely completion of projects; serve as administrative support to the local operation/function or division coordinating activities with attention to detail and accuracy which may include (but are not limited to) generating and analyzing reports, managing calendars, ordering supplies, completing OSCARS and change forms, scheduling appointments/meetings, making travel arrangements, expense reporting and all other duties as assigned.  You will anticipates and prioritize the needs of those supported by this position.

    Responsibilities

    • Manages and maintains daily schedules, department calendars, meeting invitations including set-up/use of Webex, appointments, travel arrangements and handles submission of reimbursement requests.
    • Organizes, maintains & edits files, reports, records and presentations for leadership to communicate to internal customers.
    • Draft and send written correspondence including e-mails and reply letters to internal and external stakeholders.
    • Manage and maintain legal department’s file systems and record-keeping processes; maintain electronic folders, hard copy files, contract binders, spreadsheets, and other records.
    • Process and record all executed Agreements and documents received by the Legal Department to include, but not limited to, Contracts, Amendments, Renewals, Letter Agreements, BAAs, Consulting Agreements, Non-Disclosure/Confidentiality Agreements, Vendor Agreements.
    • Participates in the planning and coordination of department meetings and company functions, including, but not limited to, setting-up conference calls and Webex meetings, coordinating and reserving meeting/conference rooms, ordering or copying materials, and ordering food and beverages.
    • Maintain and draft SOPs, DLPs, Checklists, and Templates.
    • Create and edit powerpoint presentations and other correspondences.

    Qualifications

    • Associate’s Degree required, Bachelor’s Degree preferred
    • Minimum of two to four years’ experience providing administrative support to leaders in a fast-paced corporate environment are required
    • Experience in a corporate law department or law firm, with a focus on client management, customer service, and operations are strongly preferred
    • MS Office Suite proficiency required including: Word, Excel, PowerPoint, Outlook as well as the use of Webex and Skype for Business.
    • Ability to support employees working from various locations (remote or other offices).
    • Must have the ability to interact with all levels (from associates to senior executives).
    • Must be detail oriented, responsive, highly organized and demonstrate independent thought, good judgment and critical thinking.
    • Must be able to exercise confidentiality and discretion.
    • Must track and follow-through on tasks and assignments to ensure timely and accurate completion.
    • Must have excellent time management skills.
